From the price list on the n8n.io website the Pro plan is about 150 dollars per month. We assume 10000 tasks monthly and 4 users. The cost is then about 650 PLN plus VAT.
With an increase in usage to 30000 tasks the price may exceed 250 dollars. Fees grow with the number of operations and additional functions. This is not a solution with an unlimited budget.
Companies' experiences show that limits are a real constraint. Exceeding them generates additional costs. For scaling companies the bill becomes difficult to predict.
Cloud involves recurring fees that accumulate over time. There is no one-time investment here. This is a model typical for SaaS, but it requires constant monitoring of expenses.
Hidden costs of self-hosting n8n
The n8n Community Edition software itself is free. The main cost is the server and work. A solid VPS is an expense in the range of 350-500 PLN per month assuming average load.
In addition there is time for configuration, updates and backups. At 6 hours of work per month at 130 PLN per hour this gives additional 780 PLN. At the start configuration can take 25 hours.
Security, monitoring and log tools are another 150-250 PLN per month. In total self-hosted is 1300-1700 PLN per month in the first year. Then costs decrease when the system is stabilized.
Sources emphasize the hidden costs of self-hosting in the form of DevOps competencies. Without a technical person in the team it is easy to make mistakes and downtimes. This is not an option for every company.
n8n cost calculator for company
Here is a calculator with explicit assumptions for a company with 5 employees. First assumption: 15000 automation tasks per month. Second assumption: need for SSO and integration with SQL database.
Cost of n8n Cloud: 180 USD base (760 PLN) plus 80 USD for excesses (340 PLN) plus VAT 23% gives about 1350 PLN per month. Cost of self-hosted: 420 PLN VPS plus 650 PLN maintenance plus 180 PLN tools gives 1250 PLN per month.
The difference in favor of self-hosted is 100 PLN per month. With these assumptions break even on the initial configuration costs (4000 PLN) occurs after 8 months. After a year the savings amount to about 1200 PLN.
Changing the assumption to 5000 tasks per month Cloud comes out at 850 PLN, and self-hosted at 1150 PLN. Then Cloud is cheaper. Adjust the numbers to your reality - these are not universal data.
The calculator shows dependence on scale. Above 12000 tasks self-hosted usually wins in terms of cost. Below Cloud is simpler and cheaper.
When to choose self-hosted for building AI agents
AI agents built in n8n often work on sensitive data. In Cloud the data leaves the company, which may conflict with the security policy. Self-hosted allows keeping everything inside the organization.
With a large number of AI agents self-hosted has no operation limits. Cloud may require a more expensive Enterprise plan. This makes self-hosted more predictable.
From projects for SMEs it follows that with 4 or more active workflows self-hosted reduces frustration associated with limits. Cloud works for occasional use.
However this is not a choice for every company. If you do not have experience with servers Cloud minimizes the risk of downtime. Self-hosted requires discipline in maintenance.
